Getting Started

 

How do I start a project?

Log in to your account and select "Begin" from the dashboard. You will be guided through selecting your study type, service tier, and timeline before uploading your materials and project brief.

Do I need to have my data ready before submitting?

For Original Research, clean and analysed data is strongly recommended before starting. For Systematic Reviews, a defined research question and access to the relevant databases is sufficient. If you are unsure, contact us before submitting and we will advise.

Which service tier is right for my study?

If your analysis is complete and you need a well-written, formatted manuscript, Essential is typically sufficient. If you need statistical tables, figures, or a results narrative built around your outputs, Professional is the recommended tier. Premium adds figure polishing and a full reviewer response framework for post-submission support.

Can I change my tier or timeline after submitting?

Tier and timeline are confirmed at kickoff. If your needs change before the project board is activated, contact us as early as possible. Changes after kickoff may affect delivery dates and pricing and are handled on a case-by-case basis.

Project & Deliverables

 

What exactly is included in the submission package?

Every project receives a complete, journal-formatted manuscript with all required sections, cleaned references, and a submission checklist. Higher tiers additionally include statistical tables and figures, a results narrative, a cover letter, and — at Premium level — a reviewer response template ready for post-review revisions.

What file formats can I upload?

We accept most common formats including DOCX, PDF, XLSX, CSV, SPSS (.sav), and image files. If your data or prior drafts are in an uncommon format, note this in your project description and we will advise on the best way to transfer them.

How are milestones communicated?

After kickoff, your project board is activated with a clear breakdown of milestones and expected dates for each. You will receive notifications at key stages — including draft delivery, revision rounds, and final package completion — directly through the platform.

How many revision rounds are included?

Each project includes structured revision rounds as part of the workflow. The number and scope depend on the tier and complexity of your study. This is confirmed at kickoff. Revisions are based on your feedback on delivered drafts — not on changes to the underlying study scope.

Timelines

 

What is the difference between Standard, Accelerated, and Priority?

The three tracks reflect how resources are allocated to your project.

Standard — 6 to 10 weeks

Recommended for most projects. Allows normal revision cycles without time pressure.

Accelerated — 3 to 5 weeks

Requires clean data, a clearly scoped brief, and fast author turnaround on feedback.

Priority — 10 to 14 days

Reserved for urgent deadlines. Best suited to short reports or near-complete drafts requiring final polish.

What happens if a deadline is missed on your side?

We take delivery timelines seriously. If a milestone is at risk, you will be notified in advance with a revised schedule. In cases where delays are caused by our team, we work with you to find a fair resolution. Delays caused by incomplete author uploads or late feedback may affect the agreed timeline.

Confidentiality & Ownership

 

Who owns the manuscript once it is delivered?

You retain full ownership of all materials submitted to and produced by Vellaris. We make no claim over your data, manuscript, or any associated intellectual property. The work belongs entirely to you and your institution.

Is my data kept confidential?

Yes, without exception. All project materials are handled with strict confidentiality. Access is restricted to the team members assigned to your project. We never share, publish, or reference your work in any form without explicit written consent.

Will Vellaris be listed as an author or contributor?

No. Vellaris operates as a professional support service and does not seek authorship or acknowledgement credit on any manuscript. Authorship decisions are entirely yours, subject to the guidelines of your target journal and institution.

After Journal Submission

 

What if the journal requests major revisions?

Professional and Premium tiers include a rebuttal and reviewer response framework as part of the submission package. This equips you to address peer reviewer comments systematically. If additional support is needed beyond what is included, this can be scoped as a separate engagement.

Can I resubmit to a different journal if the first is rejected?

Yes. The manuscript and submission package are yours to use as needed. Reformatting for a new journal's requirements — different citation style, word count, or structure — can be handled as a follow-on project. Contact us and we will advise on scope and timing.

Do you help with journal selection?

We do not offer formal journal selection as a standalone service, but our team can provide general guidance on scope-fit and impact level when discussing your project at kickoff. The final choice of journal rests with you and your co-authors.
